OPERATIONS MANAGER

WORTHLESSSTUDIOS is seeking an Operations Manager to lead and support the daily systems that power our creative programs, fundraising, communications, and studio activities. This role is central to the organization’s effectiveness. We're looking for someone who thrives in a dynamic, collaborative environment and is excited to be hands-on in both strategic planning and daily operations. The Operations Manager will manage daily workflows, support program logistics, oversee organizational compliance, and work collaboratively with teams to optimize resources, maintain effective systems, and enhance the efficiency of our programs.


KEY RESPONSIBILITIES

    • Oversee daily workflows across departments to ensure smooth and efficient operations

    • Maintain internal systems and digital infrastructure, including calendars, contact databases, shared drives, etc.

    • Prepare board meeting materials, take minutes, track follow-ups, and manage internal documentation

    • Monitor general inboxes and newsletters, keeping contact databases current and communication streamlined

    • Help oversee studio organization, including maintenance, storage, and vendor coordination

    • Support the implementation of large-scale programs 

    • Collaborate with artists and studio staff to ensure space and equipment needs are met

    • Join finance syncs and support budget oversight across fundraising, programming, and administration

    • Collaborate with our accounting team to track revenue and expenses, update reports, and manage accounts

    • Assist in managing organizational subscriptions

    • Maintain and oversee development calendars and grant timelines

    • Coordinate the grant application process, from internal deadlines to submission logistics

    • Support donor engagement and fundraising event planning by tracking RSVPs, preparing materials, and managing logistics

    • Maintain CRM data and support outreach to institutional and individual funders

    • Collaborate with the Programs team to plan and execute events, artist residencies, and open calls

    • Coordinate logistics for excursions, artist visits, and public programming

    • Support program application workflows and digital platforms

    • Assist with onsite needs for events and ensure key program assets (e.g., artist communications, press contacts) are maintained

    • Draft and coordinate newsletters with Squarespace, social media content, and other external communications in collaboration with the team

    • Maintain our communication calendar and ensure alignment across teams

    • Support press outreach, track engagement metrics, and assist with content collection from internal teams

    • Ensure consistent brand messaging and workflows across communications and design requests

QUALIFICATIONS

  • Bachelor’s degree in Business Administration, Operations Management, or related field

  • 3+ years of experience in an operations role, ideally in a non-profit or arts organization

  • Demonstrated ability to manage multiple projects, set priorities, and meet deadlines

  • Strong analytical and problem-solving skills, with an eye for operational efficiency

  • Excellent communication and interpersonal skills, with a talent for collaboration

  • Passion for supporting the arts and working in a mission-driven environment

  • Highly organized and self-directed

  • Experienced in project coordination, preferably within an arts or nonprofit setting

  • Comfortable managing budgets and working with external consultants or vendors

  • Strong attention to detail and ability to manage multiple timelines simultaneously

  • Familiarity with tools like CRM systems, cloud drives, and digital communication platforms a plus


EMPLOYMENT DETAILS

The Operations Manager is a full-time, exempt position which will require work outside of a typical office hour schedule. The salary range for the position is $65,000 - $75,000, commensurate with experience.
